How can a Virtual Assistant help your business in 2022?
If you run a small business in Australia, you would know that Labour is your main operating expense. So if you manage to minimise it, you can save yourself quite a bit of money. There are a few tools that you can use to reduce, minimise or eliminate fixed labour costs in your business.
Before I start, I would like to point out that hiring skilled workers for specialised tasks from your local community is a great idea. Not only does it help your community, but it also raises your business standards. But when it comes to standard repetitive admin tasks (which is 40% of small business labour cost on average) you can get creative and employ one or all of the following tools ( recommended in the following order).
SOP – Standard operating procedure.
Get a standard operating procedure for your business, so that your operation is clear to you, and those who work for you. That way you ensure that your team has a defined scope to follow. It will also give you a high-level view of your business’s operation and therefore you will be able to improve your processes. Improvements usually take place in two ways. You can either find and change repetitive tasks or employ automation through digital tools which we will be discussing in the next part of this article.

Automation via Digital Tools
The second thing you can do is automate whatever you can in your business through digital tools. Not only will that enhance your operation, but it will also reduce labour hours dramatically. Softwares like a CRM saves your sales and administration team hours in searching, data handling and deal management using great and simple digital tools. The task management tool is another one that can save you hours of project management. All of these tools come with a set of automation features that can be used for repetitive tasks. For example, you can get your software to reply to your customers automatically or move a deal from one stage to the next based on a set of actions or events.
We strongly recommend getting your SOP first before automating anything as that will give you a clear vision of where you are. Hence you can plan where you want to be and how the automation tools can help you, get there.

Hire a Virtual Assistant
In recent years hiring a virtual assistant has become very popular in Australia (especially in the SEM sector). Now, what do I mean by a virtual assistant? A virtual assistant is a trained and skilled person who can assist you with a set of defined tasks virtually (remotely) from another location. This has become the norm, especially after COVID-19 with the fact that people were forced to work from home. They realised that with the right systems in place and a set of good digital tools, it is very possible to work, collaborate and achieve remotely, from different locations. Currently, at Brissy we have four virtual staff helping us with our digital marketing and administration. One is working from Malaysia and the other 3 are in different states in Australia. While the rest of the team is operating from the Brisbane office – which is now our home anyway. So for me, the VA who is working with me from Kuala Lumpur is no different to a person who is working a few suburbs away from me. At the end of the day, the only thing that is matters is that we are connected and collaborating on the same platform and working toward the same goal.
